How To Upload Your First Document

Uploading takes under a minute, and the review runs on its own from there. You do not need to stay on the page.

Steps

  1. From the dashboard, select Upload Document.
  2. Drag your file onto the drop area, or select it from the file picker. PDF and Word files up to 50MB are accepted — see supported file types.
  3. Add context notes if you have any. They are optional, and they change what the review pays attention to — see adding notes before submitting.
  4. Submit. The scan starts immediately and you will see live progress.
  5. When it finishes, the report opens automatically. It is also saved to your document list.

Choosing a first document

Pick a real one. The most useful first upload is a document you are genuinely unsure about — a subcontractor's submission, or one that has come back from a reviewer before. A document you already know is good tells you less about whether the tool is worth having.

Upload the complete document rather than an extract. Several of the most valuable checks compare one section against another — the scope against the hazard register, the materials against the COSHH references — and an extract makes those impossible. The reasoning is set out in how to complete a RAMS document.

While the scan runs

Most documents complete in under five minutes; the page shows progress as it goes, and closing the tab does not cancel anything. See how long a scan takes if yours is running longer than expected.

What you get back

A structured report with findings grouped by severity — Critical, Needs Attention, Minor and Done Well — with the critical and needs-attention groups open by default because they are the reason to read it. Understanding your first report walks through how to work through one.

One thing worth being clear about

The report is not an approval. It is a structured reading that flags potential concerns for your qualified health and safety personnel to consider. Every decision about whether a document is adequate stays with your team — accepting a document in Valify records your decision, not ours.
