Uploaded documents are permanently deleted 90 days after upload. This is automatic, it applies to every plan, and it is not something you have to request.
Why 90 days
Holding a customer's health and safety documents indefinitely is a liability for both of us, and there is no operational reason to keep them: the review is done and the report has been read. Ninety days is long enough to cover a normal revision cycle and short enough that the store is not an archive of other people's project documentation.
What is deleted
The uploaded file itself, and the extracted text taken from it during the review.
What is kept
Your account, and the record that a document of that name was scanned on that date, including the finding counts. Detailed report content associated with a deleted document is removed with it, so if you need the findings, export them before the 90 days are up.
What to do about it
- Export the report as a PDF when you first read it — see downloading your report as a PDF. It takes a few seconds and removes the deadline entirely.
- File the export with the document revision it relates to, in your own project records.
- Where the document is part of a project file that has to be kept for years, your own system is the right home for it, not ours.
That last point matters more than it appears. Construction records outlive review tools: a health and safety file has to remain available for the life of the structure, as covered in health and safety file requirements under CDM 2015. Nothing in Valify is designed to be your system of record.
Deleting sooner
You can delete a document from your document list at any time, which removes the file immediately rather than waiting for the 90 days. Deleting your whole account removes everything — see how to delete my account.
